Payment, Refund & Cancellation Policy

This Policy outlines the terms of payment, refund, and cancellation applicable to digital products, online courses, individual consultations, coaching programs, and package services. We strive for full transparency and hope this section addresses your questions.
1. Copyright
All digital products are protected by copyright. Clients are not permitted to copy, distribute, or share purchased materials. This applies to all types of materials received during coaching and consultations. For further details, please refer to our Copyright and Intellectual Property Policy page.
2. Payment Methods
All services and digital products require full prepayment. Payments are securely processed through our payment provider.
3. Refund Policy for Digital Products
3.1. Definition
Digital products include guides, manuals, eBooks, checklists, and other informational materials available for purchase and download from our website.
3.2. No Refunds After Download
According to consumer protection laws (e.g., EU Directive 2011/83/EU), refunds are not provided for digital products after they have been downloaded. We recommend thoroughly reviewing product descriptions before purchasing.
3.3. Exchange Policy for Defective Products
In the event of technical defects (e.g., file errors or access issues), an exchange for a corrected version of the product is available.
4. Refund Policy for Online Courses
4.1. Definition
Online courses are educational programs consisting of video lectures, text lessons, and practical assignments, structured into modules for in-depth learning. Access is granted for a limited time.
4.2. No Refunds After Course Start
Refunds are not available after the start of a course, as educational content is provided immediately upon payment. We advise reviewing course descriptions carefully before purchasing.
4.3. Partial Refund After the First Lesson
A partial refund, minus a 10% administrative fee, is available if only the first lesson has been viewed and the client decides to discontinue. Clients must request a refund within 24 hours of completing the first lesson and must not have accessed subsequent lessons.
4.4. Refund Request Procedure
Requests must be made within 24 hours after the first lesson, and subsequent lessons must remain unaccessed.
5. Refund Policy for Individual Consultations and Single Sessions
5.1. Definition
Individual consultations and single sessions provide flexible support for specific client requests without long-term commitment. Sessions are scheduled in advance and paid for individually.
5.2. Free Cancellation or Rescheduling with 24-Hour Notice
Cancellations made at least 24 hours before the scheduled session are eligible for a full refund or rescheduling.
5.3. No Refund for Late Cancellations
Cancellations made less than 24 hours before the session do not qualify for a refund.
5.4. Partial Refund for Rescheduling with Less than 24-Hour Notice
If the client requests to reschedule within 24 hours of the session, 50% of the prepayment will be applied to the rescheduled session, with the remaining 50% needing to be repaid.
5.5. No Refund for Delays over 20 Minutes
Sessions are canceled without a refund if the client is more than 20 minutes late. In case of force majeure, 50% of the fee may be transferred to the next session or refunded.
6. Refund Policy for Coaching Programs and Package Services
6.1. Definition
Coaching programs and package services include a set number of sessions over a specified period, following a structured protocol. These are ideal for clients aiming for comprehensive change and sustained results.
6.2. Full Refund Before Program Start with 24-Hour Notice
Clients are eligible for a full refund if a request is made at least 24 hours before the first session. If the request is made within 24 hours of the session, a refund minus a 5% administrative fee may be granted.
6.3. Partial Refund After the First Session
A partial refund for remaining sessions is possible with a 20% administrative fee to cover organizational costs and reserved time that impacted scheduling for other clients.
6.4. No Refund After Substantial Program Completion
Refunds are not available if more than 25% of the program has been completed, as significant services and materials have already been provided. This also accounts for organizational efforts, time for individualized planning, material development, and initial support, along with turning away other clients to reserve your spot.
6.5. Exceptional Circumstances for Refunds
Refunds may be considered in exceptional cases, such as illness, injury, natural disasters, or urgent family matters, subject to a 20% administrative fee. Requests must be accompanied by written notice and supporting documents (if applicable) sent to info@vitavaib.com.
7. Cancellations by Us
We reserve the right to cancel or reschedule a session due to force majeure or other valid reasons. In such cases, an alternative time or a full refund will be offered.

8.1. Refund Request
All refund requests must be sent via email to info@vitavaib.com with a reason for the request and supporting evidence.
8.2. Processing Time
Refunds are processed within 1 to 14 business days. Funds will be returned using the original payment method.
